By using IECEP OnePass, you agree to:
- Provide accurate information during registration
- Maintain account security and confidentiality
- Use the service only for legitimate event participation
- Comply with all applicable laws and regulations
Important notes:
- This app does NOT process payments directly
- Payments are handled by external payment sources
- Payment status is recorded for administrative purposes only
- Refunds must be requested through the external payment provider
Your responsibilities:
- Keep your account credentials secure
- Report any unauthorized access immediately
- Use QR codes and camera features appropriately
- Respect event rules and participant guidelines
Welcome to IECEP OnePass ("we," "our," or "us"), a modern QR-based event management and participant management system operated by the Institute of Electronics Engineers of the Philippines. These Terms and Conditions ("Terms") govern your access to and use of our web application. By registering for an account, accessing, or using IECEP OnePass, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our service.
By accessing or using IECEP OnePass, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. These Terms constitute a legally binding agreement between you and the Institute of Electronics Engineers of the Philippines.
If you are using the service on behalf of an organization, you represent and warrant that you have the authority to bind that organization to these Terms.
Registration Requirements
To use IECEP OnePass, you must:
- Be at least 13 years of age
- Provide accurate, current, and complete information during registration
- Maintain and promptly update your account information
- Agree to the Data Privacy Act consent statement
- Register only when there is an active event available
Account Security
You are responsible for:
- Maintaining the confidentiality of your username and password
- All activities that occur under your account
- Immediately notifying us of any unauthorized use of your account
- Using a strong, unique password
- Logging out of your account when using shared devices
Account Information
You agree to provide accurate information including your name, email address, phone number, and membership details. Providing false or misleading information may result in account suspension or termination.
Acceptable Use
You agree to use IECEP OnePass only for:
- Legitimate event registration and participation
- Accessing your personal event information
- QR code scanning for event check-in (if authorized)
- Communicating with event organizers in a professional manner
Prohibited Activities
You agree NOT to:
- Use the service for any illegal or unauthorized purpose
- Impersonate any person or entity or falsely state your affiliation
- Interfere with or disrupt the service or servers
- Attempt to gain unauthorized access to any portion of the service
- Share your account credentials with others
- Use automated systems (bots, scrapers) to access the service
- Modify, adapt, or hack the service
- Reverse engineer or attempt to extract source code
- Upload viruses, malware, or malicious code
- Violate any applicable local, national, or international laws
Event Registration
When registering for events:
- Registration is subject to event availability and capacity limits
- You must meet any eligibility requirements specified by the event
- Event organizers reserve the right to accept or reject registrations
- Registration does not guarantee event attendance or participation
- You must comply with all event rules and guidelines
Event Attendance
When attending events:
- You must present valid identification when requested
- QR code verification may be required for entry
- You must follow all event safety and conduct rules
- Event organizers may refuse entry for non-compliance
- Meal claims are subject to availability and event policies
Event Cancellation or Changes
Event organizers reserve the right to cancel, modify, or reschedule events. We will make reasonable efforts to notify registered participants of significant changes. However, we are not liable for any losses or damages resulting from event cancellations or modifications.
QR Code Generation
Participants may be issued QR codes for event check-in and verification. QR codes are:
- Unique to each participant and event
- Intended for personal use only
- Not to be shared, copied, or transferred to others
- Subject to verification at event entry points
Camera Access
The application may request camera access for:
- Scanning QR codes for event attendance verification (authorized users only)
- Taking optional profile pictures
Camera access is optional and may be denied. However, denying camera access may limit certain features such as QR code scanning. Camera permissions can be managed through your device settings.
Acceptable Use of Scanning Features
When using QR code scanning features:
- Only authorized personnel (admins, event staff) may scan participant QR codes
- QR codes must only be scanned for legitimate event verification purposes
- Do not attempt to scan unauthorized QR codes or manipulate scanning functionality
- Respect participant privacy when scanning QR codes
Service Ownership
IECEP OnePass, including its design, features, functionality, source code, logos, trademarks, and all content, is owned by the Institute of Electronics Engineers of the Philippines and is protected by copyright, trademark, and other intellectual property laws.
User Content
By using the service, you grant us a non-exclusive, royalty-free license to:
- Use, store, and display your profile information and event registration data
- Generate and manage QR codes associated with your account
- Use your information for event management and administrative purposes
Restrictions
You may not copy, modify, distribute, sell, or lease any part of IECEP OnePass or its content without our express written permission. You may not reverse engineer or attempt to extract source code from the service.
Service Modifications
We reserve the right to modify, suspend, or discontinue any part of IECEP OnePass at any time, with or without notice. We may also impose limits on certain features or restrict access to parts of the service without notice or liability.
Downtime and Maintenance
The service may be temporarily unavailable due to maintenance, updates, or technical issues. We strive to minimize downtime but do not guarantee uninterrupted access. We are not liable for any losses resulting from service unavailability.
Feature Changes
We may add, modify, or remove features at any time. We will make reasonable efforts to notify users of significant changes, but are not obligated to do so.
Role-Based Access
IECEP OnePass uses role-based access control. Your role determines what features and data you can access:
- Admin: Full access to all features, user management, event management, and administrative functions
- Participant: Access to personal profile, event registration, QR code viewing, and event information
- Sponsor: Access to sponsor-specific features and information
- VIP: Special privileges and access to VIP-specific features
- Guest: Limited access to basic features and event information
Role Assignment
User roles are assigned by administrators based on your membership status, event participation, or organizational needs. Role assignments may be changed at the discretion of administrators. You may not change your own role or access features outside your assigned permissions.
Termination by User
You may request account deletion at any time by contacting us at membership@iecep.org.ph. Upon account deletion, your access to the service will be terminated. Some data may be retained for legal compliance or administrative purposes as outlined in our Privacy Policy.
Termination by Service
We reserve the right to suspend or terminate your account immediately, without prior notice, if you:
- Violate these Terms or our Privacy Policy
- Engage in fraudulent, illegal, or harmful activities
- Provide false or misleading information
- Misuse the service or attempt to gain unauthorized access
- Fail to comply with event rules or participant guidelines
Consequences of Termination
Upon termination, your right to use IECEP OnePass will immediately cease. You will lose access to your account, event registrations, and all associated data. We are not liable for any losses resulting from account termination.
Service Disclaimer
IECEP OnePass is provided "as is" and "as available" without warranties of any kind, either express or implied. We do not guarantee that the service will be uninterrupted, error-free, secure, or free from viruses or other harmful components.
Limitation of Liability
To the maximum extent permitted by law, the Institute of Electronics Engineers of the Philippines, its officers, directors, employees, and agents shall not be liable for:
- Any indirect, incidental, special, consequential, or punitive damages
- Loss of profits, data, use, goodwill, or other intangible losses
- Damages resulting from your use or inability to use the service
- Damages resulting from unauthorized access to or alteration of your data
- Damages resulting from event cancellations, modifications, or changes
- Damages resulting from payment processing issues with external payment sources
Third-Party Services
IECEP OnePass may integrate with or link to third-party services (payment processors, hosting providers, etc.). We are not responsible for the availability, accuracy, or practices of third-party services. Your interactions with third-party services are solely between you and the third party.
Governing Law
These Terms shall be governed by and construed in accordance with the laws of the Republic of the Philippines, without regard to its conflict of law provisions.
Dispute Resolution Process
In the event of any dispute arising from or relating to these Terms or the service:
- First, contact us at membership@iecep.org.ph to attempt to resolve the dispute amicably
- If the dispute cannot be resolved through direct communication, it shall be subject to the exclusive jurisdiction of the courts of Quezon City, Philippines
- You agree to submit to the personal jurisdiction of such courts
We reserve the right to modify these Terms at any time. We will notify you of material changes by:
- Updating the "Last Updated" date at the top of this page
- Posting a notice in the application for significant changes
- Sending an email notification to registered users (for major changes)
Your continued use of IECEP OnePass after changes are posted constitutes your acceptance of the modified Terms. If you do not agree to the modified Terms, you must stop using the service and may request account deletion.
